Position Summary:

Holy Infant Catholic Church of Durham, NC is seeking a Parish Services Assistant to help foster the vision and mission of the parish. The Parish Services Assistant will report to the Director of Operations and Finance and perform a variety of parish office support functions. The Parish Services Assistant responsibilities include significant interaction with parishioners and visitors, an important consideration in the successful fulfillment of our parish mission and detailed below.

Key responsibilities:

  • Provides timely and accurate responses to inquiries from parishioners and visitors (telephone calls, in-person, messages) through direct assistance or by referral to other staff members or external organizations or individuals.
  • Maintains the parish membership database in the parish software for all additions, changes and deletions and coordinate database updates with the Diocese.
  • Maintains a current listing of parishioners for the online offering envelope service by updating new and deactivated parishioners.
  • Maintains the Mass Intentions and Memorials process by documenting actions in appropriate locations and providing assistance and information to those requesting Mass intentions and memorials.
  • Coordinates the church food donation and distribution programs  
  • Coordinates use of parish facilities (scheduling, confirming adherence to usage protocols, etc.).
  • Maintains the parish calendar for specific events.
  • Generates membership reports, statistics, etc. as needed.
  • Print weekly readings for Sick and Homebound ministers.
  • Develops and maintains designated filing systems.
  • Assists with overseeing the proper operation and maintenance of office and church equipment and systems (copier(s), printers, telephone, HVAC systems, alarm systems, etc.); includes coordination with designated vendors for training and service.
  • Assures the proper distribution of mail and packages; coordinates bulk mailings.
  • Maintains an appropriate inventory of office supplies (paper, toner, coffee, etc.).
  • Maintains a current listing of parishioners for the email marketing software.
  • Provides materials and information to volunteer ministries as needed (ex: Brothers and Sisters Ministry)
  • Participates in parish staff meetings.
  • Proofs weekly communications and other parish materials being distributed to the parishioners (Bulletin, Connector, etc).

Minimum Requirements: 

  • A bachelor's degree is preferred but is not required.
  • Proficiency with Microsoft Office software suite and an ability to learn and adapt to new software.
  • Competency with database maintenance, management, and reporting.
  • Ability to manage time efficiently by successfully prioritizing tasks in a multi-task work environment.
  • Able to recognize and maintain strict discretion of confidential information.
  • High attention to detail with excellent written and verbal communications skills and a commitment to open sharing of information with all need-to-know parties.
  • Employment is contingent upon applicant satisfactorily passing background and reference checks.
  • Must complete diocese-sponsored Safe Environment Training.
